Privacy Policy

The European Responsible Artificial Intelligence Office (EURAIO) is committed to protecting the personal data of all visitors, members, partners, and stakeholders. This Privacy Policy explains how we collect, use, store, and safeguard personal information in accordance with the EU General Data Protection Regulation (GDPR) and the Belgian Data Protection Act of 30 July 2018.

Data Controller and Data Protection Officer

The organisation responsible for processing your personal data is the European Responsible Artificial Intelligence Office (EURAIO), contactable at info @ euraio.eu. EURAIO has appointed Eleanor “Nell” Watson as Data Protection Officer to oversee compliance, reachable at nell @ euraio.eu. The DPO operates independently, with decisions concerning the handling of personal data reviewed by the remaining members of the Board in accordance with GDPR requirements.

Personal Data We Collect and How We Use It

We may collect contact information (name, email address, organisation, role), membership or partnership information, event registration details, website analytics data (IP address, browser type, pages visited), and any emails or messages you send to us. We do not collect sensitive categories of personal data unless explicitly required and consented to, such as dietary requirements for events.

We process data solely for purposes relevant to our mission, including managing membership and communications, organising events and activities, responding to inquiries, improving our website and digital services, and fulfilling regulatory and governance requirements.

Legal Bases for Processing

Depending on the context, EURAIO processes personal data on the basis of legitimate interests (such as maintaining operations, governance, and events), consent (such as newsletter sign-ups), legal obligations (such as financial or compliance reporting), and contractual necessity (such as partnership arrangements).

Data Sharing and International Transfers

We may share personal data only with trusted service providers (such as email hosting and cloud services), event partners or venues when required for logistics, and regulators when legally mandated. We never sell personal data. If data is transferred outside the European Economic Area (EEA), EURAIO ensures appropriate safeguards such as Standard Contractual Clauses.

Data Retention and Your Rights

We retain personal data only as long as necessary for the purpose for which it was collected or as required by law. Email correspondence and membership records are periodically reviewed and deleted when no longer needed.

Under GDPR, you have the right to access your personal data, request correction or deletion, restrict or object to processing, withdraw consent where applicable, request data portability, and lodge a complaint with the Belgian Data Protection Authority. To exercise these rights, contact nell@euraio.eu.

Cookies, Security, and Policy Updates

Our website may use cookies or analytics tools to improve usability and understand visitor behaviour. You can modify cookie settings through your browser at any time. We take appropriate technical and organisational measures to protect personal data, including secure hosting, access controls, and encrypted communication channels where applicable. We may update this Privacy Policy periodically, with significant changes announced on this page.
